Hyrise AI (“Hyrise”, “we”, “us”) provides AI-powered growth tools for service businesses: websites, chat, leads, newsletters, SEO/AEO content, optional WhatsApp messaging, and related dashboard features at hyrise.ai.
This policy explains how we handle personal information. It is written for Australian privacy law, including the Australian Privacy Principles. We are based in Victoria, Australia.
This is a product policy, not legal advice. If something here does not match how a feature actually works, the live product and your agreement with us prevail.
Who this covers
We collect information about:
- People who visit hyrise.ai, book a demo, or use our public demo
- People who sign in to a Hyrise dashboard (owners, teammates)
- End customers who chat with, email, or otherwise contact a business that uses Hyrise (leads, subscribers, conversation participants)
If you use Hyrise for your business, you are responsible for telling your own visitors and customers how you use Hyrise (for example in your site’s privacy notice and chat widget).
Information we collect
Account and team. Name, email, organisation, role, and sign-in details. We use magic-link sign-in (no password stored by us).
Conversations and leads. Messages sent through website chat and, when you connect them, channels such as WhatsApp (and voice if enabled later), plus contact details a visitor or customer chooses to share — for example name, email, or phone number.
WhatsApp. If you connect a WhatsApp Business number, we receive and store message content and related metadata that Meta delivers to our webhook (for example the customer’s WhatsApp identifier / phone number, timestamps, and delivery-related events). We also store the connection details you provide or authorise (for example phone number ID, WhatsApp Business Account ID, and an access token). Tokens are encrypted and are not shown back in full in the dashboard.
Content. Knowledge you upload, newsletter and blog drafts, approvals, published posts, and related metadata (titles, slugs, FAQs, images you generate or attach).
Google. If you click Connect Google for Search Console, we receive the Google account email you use and read-only Search Analytics for the property you pick (for example queries, pages, clicks, impressions, and average position). We do not use Google to send email, and we do not change your Search Console settings, sitemaps, or site verification.
Publishing connections. If you connect WordPress, Webflow, Shopify, or a similar CMS, we store the credentials and settings you provide so we can publish posts you approve. Those tokens are encrypted and are not shown back in full in the dashboard.
Enquiries. Information you submit on our website (for example Book a demo), including name, business, and contact details.
Usage. Technical logs needed to run and secure the service (for example approximate time of requests, errors, and which organisation a dashboard session belongs to).
How we use information
- Provide, maintain, and improve Hyrise for your organisation
- Run chat and WhatsApp messaging, capture leads, draft and send newsletters you approve, and draft, edit, and publish content you approve
- When WhatsApp AI is enabled for your organisation, generate and send replies on that channel; when AI is off or a thread needs a human, store inbound messages for your team to handle
- Show Search Console performance in your dashboard and help you choose content topics
- Authenticate users and protect the service
- Respond to demo and support requests
- Meet legal obligations
We use third-party AI models to generate chat replies and content from the knowledge and instructions you provide. Those providers process the text (and similar material) needed to produce the output. Do not put secrets in prompts or knowledge that you are not willing to send to our processors.
WhatsApp Business
Connecting WhatsApp is optional. You (or someone you authorise) must already control the WhatsApp Business Account and phone number you link. Connection may use credentials you paste in the dashboard, or — when we offer it — Meta’s Embedded Signup / Facebook Login for Business so you can grant Hyrise access to your WhatsApp assets.
Meta (WhatsApp) delivers inbound messages to us and accepts outbound messages we send on your behalf through the WhatsApp Cloud API. Message content and phone numbers are processed so we can show conversations in your dashboard and reply when your settings allow it. We do not use WhatsApp data to sell ads or to contact people for our own marketing.
You can stop this at any time by:
- Using Disconnect, Pause channel, or Turn AI off under Agents → WhatsApp in Hyrise, and/or
- Removing Hyrise’s access in Meta Business Suite / your WhatsApp Business settings, or rotating the access token you shared with us
Meta’s own rules also apply to data Meta holds. See WhatsApp Business Policy and Meta’s Privacy Policy. You are responsible for telling your customers that you use WhatsApp and Hyrise to handle their messages.
Google Search Console
Connecting Google is optional. The Google account must already be an Owner or Full user on the Search Console property. After you connect, we store a refresh token so we can keep reading analytics until you disconnect.
You can stop this at any time by:
- Using Disconnect in Content → Search Console in Hyrise, and/or
- Revoking Hyrise in your Google Account permissions
Google’s own rules also apply to data Google holds. See Google’s Privacy Policy.
Who we share with
We do not sell personal information. We share it only as needed:
- Service providers who host the product, store data, send email on your behalf, generate images, or run AI models — under contracts that limit how they use the data
- Meta / WhatsApp when you connect WhatsApp, so messages can be delivered and sent as described above
- Google when you connect Search Console, as described above
- Platforms you connect (for example your CMS) when you approve a publish or similar action
- Professional advisers or authorities if the law requires it, or to protect Hyrise, our customers, or the public
Teammates you invite to an organisation can see that organisation’s dashboard data, including leads and content.
Overseas disclosure
Our service providers may store or process information outside Australia (commonly the United States or other regions). By using Hyrise you acknowledge that information may leave Australia. We take reasonable steps to ensure those providers handle it consistently with this policy.
Human approval
Newsletters are not sent and blog posts are not published until someone in your organisation explicitly approves (and, where relevant, publishes or sends). Connecting a CMS or Google does not by itself go live on your site.
WhatsApp is different: if you enable the channel and leave AI on, Hyrise may send automatic text replies to inbound customer messages. You can pause the channel, turn AI off, or mark a thread as needing a human so replies stop until your team takes over.
Cookies
We use cookies and similar storage that are required to sign in, keep you logged in, remember which organisation you are using, and complete Google connect. We do not currently run third-party advertising cookies on hyrise.ai.
Security and retention
We use encryption in transit and encrypt sensitive tokens at rest. No method of storage or transmission is completely secure.
We keep information for as long as your organisation uses Hyrise and as long as we need copies for security, dispute, or legal reasons. If you ask us to delete an organisation’s data we will do so except where we must retain a record.
Your rights
Depending on your situation, you may ask us to access, correct, or delete personal information we hold, or to limit how we use it. End customers of a Hyrise business should usually start with that business; we will help the organisation where we can.
You may complain to us using the contact method below. You may also contact the Office of the Australian Information Commissioner.
Children
Hyrise is aimed at businesses, not children. We do not knowingly collect personal information from children for our own marketing.
Changes
We may update this policy as the product changes. The “Last updated” date will change. Continued use after an update means you accept the revised policy.
Contact
For privacy questions or requests, use hyrise.ai/book and mention that it is a privacy matter. We will reply using the contact details you provide. A dedicated inbox will be added here when it is live.
